Viewing Time Entry Request Details

Click a Request Date link in the Time Entry Request History grid that corresponds to a time entry request to view that request's details along with the approval chain information.

You can cancel the time entry request if the status of the request is not Approved - Finalized or Rejected.

Time Entry Request Details

The following time entry request details display at the top of the page.

Column Heading

Description

Week Start Date

This field displays the date of the first day in the time entry request reporting week.

Total Time

This field displays the total time (number of hours worked plus any paid leave) submitted by the employee on this time entry request.

Standard Hours

This field displays the total number of standard hours submitted by the employee on this time entry request.

Total OT

This field displays the total number of calculated overtime hours submitted by the employee on this time entry request. Your organization's overtime policy will determine how the overtime is calculated.

The overtime calculation used is determined by the Time Reporting Group assigned to your Alio employee record.

Comments

This field displays any comments entered on the time entry request.

Comp Hours

This field displays the Comp Hours requested by the employee for overtime worked during the reporting period. This field displays only if your organization allows its employees to request Comp Time in place of Overtime pay.

Note: The Comp Hours total may not reflect the actual amounts earned when Comp Time is earned at an overtime rate.

Paid OT

This field displays the Paid Overtime Hours requested by the employee in place of earned Comp Time. This field displays only if your organization allows its employees to request Paid Overtime in place of overtime.

Note: The Paid OT total may not reflect the actual amounts earned when overtime is earned at an overtime rate.

Process Date

This field displays the date this time entry request was finalized.

Approval Process Grid

The Approval Process grid displays at the bottom of the page. This grid lists each step of the approval process, its status, and comments. Use this grid to track the progress of your request.

The approvers are sequenced from highest level to lowest level, with the final approver at the top of the grid.

Column Heading

Description

Date

This column lists the date the request was approved or denied. This column is blank if the request has not been processed.

Approver

This column lists the names of the approvers at this level.

Status

This column lists the current approval status of the request: Open, Pending, Approved ,Revised, Rejected, Cancelled, and Final-Approved.

Comments

This column lists any comments to the employee that were entered by the approver.

Canceling a Time Entry Request

Follow these steps to cancel a pending Time Entry Request.

  1. On the Payroll page, click the Request Time Entry Changes link. The Time Entry Requests page displays.

  2. In the Time Entry Request History grid, click the Request Date link that corresponds to the time entry request to be cancelled. The request must have a status that is not Approved - Finalized or Rejected.

  3. Click the button to cancel the request. A message displays: "Click OK to cancel this request. This cannot be undone."

  4. Click the button to confirm the cancel operation. An e-mail message is sent to the applicable approvers to notify them that the user canceled the time entry request.
