Defining the Leave Request Setup Options

Use the Leave Request Setup section at the top of the page to define the following leave request setup options:

Refer to the following table for a description of each parameter.

Parameter Description Default

General Information

Use the General Information area at the top of the Leave Request Setup page to type a message to your employees that can display on the selected request page. This message may include additional directions to completing a request, school policy notices, or any other type of message. You can enter a different message for each request page.

You have option to display or not display the general information for the request. You can also change this message at any time.

To define the leave request system options:

  1. Click the Request Setup link on the Admin Home page.

  2. Click the Request Type Drop Down List button and select Leaves from the list. The Leave Request Setup page appears.

  3. Optionally, type a general message to your employees. Click here for more details.

  4. Click the Display Leave General Information check box to display the General Information message in the Leave Request Queue.

  5. Click the button to save the leave request settings.

User-defined

Allow employee to enter leave request time greater than date range

Click this check box to allow employees to enter a Duration in Days value that exceeds the entered leave request date range when submitting a daily leave request.

Your organization may want to use this option if your employees' work week changes to a 4-day work week (10 hours per day during the summer months).

Leave this check box clear to not allow employees to enter a Duration in Days value that exceeds the entered leave request date range.

Allow previous employee job to be used if active job is not found on Leave Start Date

Click this check box to use the leave request date to select the active job to which a leave request applies. If a current active job record is not found for the leave request date entered, the employee's last active job record is used to determine the approval group to which the employee belongs so that the request is correctly routed. This allows the employee to request leave for the next school year.

Leave this check box clear to select the active job to which the leave applies. If the employee does not have an active job as of the leave request date, the employee is prevented from entering the leave request.

Proxy Type

The Proxy Type field displays directly below the General Information section. Click the Drop Down Arrow button to select the option that identifies the method used to approve a proxy leave request after it is entered.

  • Bypass approval hierarchy — this is the default option.  When this option is selected, the approver approves the proxy leave request as a final approver. The proxy leave request will bypass the approval hierarchy.

  • Resume approval hierarchy at reviewer level — when this option is selected, the approval process for the proxy leave request starts at the level in the approval hierarchy currently assigned to the approver that submitted the proxy leave request. The proxy leave request is processed normally through the remaining levels of the approval hierarchy until it is finalized.

  • Resume at lowest hierarchy level — when this option is selected, the proxy leave request follows the assigned approval hierarchy, starting at the lowest level and going to the highest level.

When a proxy leave request is entered, the employee receives an e-mail notification message that a request was entered on their behalf, and Alio is updated the same as a regular leave request when it is finalized.
