Maintaining the General Template Settings

Use the General tab to assign a contract code to the template, add a template name and description, and define the header, footer, and page margins.

Adding a Contract Template

Follow these steps to add a contract template.

  1. Launch the Contracts page > Templates tab.

  2. In the Templates grid, click the button. The Add/Edit Template page appears.

  3. Leave the Active check box blank to create an inactive contract template. You can activate the template when it is complete and ready for use.

  1. In the Contract Code field, click the Drop-down List button to select the contract code used to identify this contract template.

Tip: The Contract Code Drop-down List displays the contract codes defined in the Alio HRS Contract Codes table. You may create only one active contract template for each contract code.
  1. In the Contract Name field, type a name for the contract template. You can enter a maximum of 100 alphanumeric characters.

  2. In the Contract Description field, type a description of the contract template. You can enter a maximum of 4,000 alphanumeric characters.

  3. Enter the header and footer height and the page margins that apply to the contract template. The measurements are entered in inches.

Field Description
Header Height (inches) Type the height, in inches, of the contract template header that will display on all pages of the contract. The header height is added to the top margin to determine how much space to reserve at the top of the page for both elements. For example, if the Header Height is 2 inches and the Margin Top is .5 inches, 2.5 inches is reserved at the top of the template page for the top margin and the header. The Body of the contract template will begin below the header space.
Footer Height (inches) Type the height, in inches, of the contract template footer that will display on all pages of the contract. The footer height is added to the bottom margin to determine how much space to reserve at the bottom of the page for both elements. For example, if the Footer Height is 2 inches and the Margin Bottom is .5 inches, 2.5 inches is reserved at the bottom of the template page for the bottom margin and the footer. The Body of the contract template will end above the footer space.
Margin Top (inches) Type the top margin, in inches, to apply to all pages of the contract template.
Margin Right (inches) Type the right margin, in inches, to apply to all pages of the contract template.
Margin Bottom (inches) Type the bottom margin, in inches to apply to all pages of the contract template.
Margin Left ( inches) Type the left margin, in inches, to apply to all pages of the contract template.

  2. Use the following tabs to customize the contract template:

Modifying a Contract Template

Follow these steps to modify the general settings defined for a contract template. You can update the contract name and description, activate an inactive template or inactivate an active template, and change the header height, footer height, and/or page margins.

To modify the general settings:

  1. Go to the Contracts page > Templates tab.

  2. In the Templates grid, click the Edit icon that corresponds to the contract template to be modified. The Add/Edit Template page appears with the General tab selected.

  3. Make the necessary modifications to the contract template.

  4. Click the select the Active check box to activate an inactive contract template.

  5. Click to clear the Active check box to inactivate an active contract template.

  6. Change the remaining parameters by replacing the original values.

  1. When finished, click the   button.

Previewing a Contract Template

Use the Preview page to verify the headers, footers, and page margins are correct and to proofread the contract details for grammar, punctuation, and spelling errors. The contract template displays in a PDF viewer.

To preview a contract template:

  1. Go to the Contracts page > Templates tab.

  2. In the Templates grid, click the Edit icon that corresponds to the contract template to be previewed. The Add/Edit Template page appears with the General tab selected.

  3. Click the button. The contract template displays in a PDF viewer.

  4. Close the PDF viewer when finished with your review.
