Configuring the E-mail Server

Use the E-mail Settings tab to configure the e-mail server responsible for sending outgoing system messages to the LINQ EP users. These system e-mail messages include:

Use the E-mail Customization tab Account E-mail Customization and Request E-mail Customization links at the bottom of the page to customize the standard system e-mails sent to your employees.

Configuring the E-mail Server

To configure the e-mail server:

  1. Click the E-mail Setup link on the Admin Home page.

  2. Define the SMTP e-mail settings. Refer to the SMTP E-mail Field Definitions table for more information. For example:

Google recently changed how it handles gmail. For those users who are using gmail, there is an option in gmail's privacy settings to allow the user to access outside applications. This setting MUST be enabled for the portal to send e-mails. You can perform this task by launching URL https://www.google.com/settings/security/lesssecureapps or completing the following steps.

  1. Log into Gmail account using the User Name and Password linked to portal e-mail setup.
  2. Go to My Account.
  3. Under Sign-in & security, choose Connected apps & sites.
  4. Turn on option to Allow less secure apps.
  1. Click the button to save the SMTP e-mail settings. The message "SMTP E-mail Settings Updated" displays.

SMTP E-mail Field Definitions

The following table defines the SMTP e-mail setup requirements.

SMTP Host

Type the name of the e-mail server you want to use to relay LINQ Employee Portal e-mail notifications. You can enter up to 50 alphanumeric characters.

Tip: LINQ recommends using your current e-mail server. Office 365 is not supported.

This field is blank.

SMTP Port

Type the port used to relay SMTP e-mails.

Non-SSL port: 25

SSL port: 465

SMTP Authentication Required

Click to select this check box if authentication is required. If selected, the SMTP Authentication User Name and Password fields display. These fields are required.

This check box is not selected

User Name

If the SMTP Authentication Required check box is selected, type the user name required to authenticate the SMTP e-mail server.

The user name must be at least six characters in length; you can enter up to 50 characters. You can use letters, numbers, and special characters (!, $, &, etc.).

This field is blank.

Password

Type the password for the SMTP Authentication User Name.

The password must be at least eight characters in length; you can enter up to 50 characters. You must include at least one number (1, 2, 3, etc.) and one special character (!, $, &, etc.) in your password.

This field is blank.

Reply To Address

Type the return address inserted on all automatic e-mails sent by the LINQ EP software solution.

This field is blank.

Reply to Display Name

Type the name that will display on automated e-mail notifications in the From e-mail address.

This field is blank.

Note: In some scenarios, the Exchange server will resolve the name. When this occurs, the e-mail will not display the Reply To Display Name value from the portal. This is out of our control as it is a function of Exchange.

Hours E-mail Activation Link is Valid

Type the number of hours the activation link sent to the user in a notification e-mail will remain active. This parameter applies only to the Account Notification e-mail message and the Reset Password Notification e-mail message.
