Viewing Account Totals

Use the Account Inquiry > Sum tab to display a summary of an account's activity for a selected year and period range.

Viewing a Summary of Account Activity

To view account activity summary:

  1. Click the Account Inquiry link on the Menu Bar to open the Account Inquiry page.

  2. In the Year field, type the year of the account details to be viewed. The page uses the Year to filter the Select Account page.

  3. In the Period Range field, type the beginning and ending accounting periods for the account details to be viewed. Type the same beginning and ending accounting period to view account details for a single accounting period.

The account balance is calculated using the following formula for non balance sheet accounts: Budget - Encumbrance - Actual. For balance sheet accounts, the account balance is the sum of activity on the account.

The Accounting Period Range filter is not applied to the PRE column. The PRE column always displays the PRE amount as of the current date

  1. In the Account field, type the full account number to view the account totals for the Year and Period range entered.

    If the full account number is not known, type a partial account number or leave the field empty. Click the Magnifying Glass icon to display the Select Account page. This page lists all accounts with an active status defined in the Chart of Accounts program – FMACT02A.FMX in Alio for the Year and Period Range entered on the Account Inquiry page. If a partial account number was entered, all accounts listed will contain that account string.

    Optionally, click the Filter button to display the filter criteria boxes that correspond to each heading on the grid.

    Type the filter criteria. For example, type the first three dimensions in the account number to list all accounts that start with those dimensions

    Press the Enter key to filter the grid.

  2. Click to select an account from the list. The Account Inquiry > Sum tab displays the account totals.

Column Heading

Description

Period

This column lists:

  • The account total breakdown is by accounting period (00, 01, 02, etc.). The Period Range determines the accounting periods displayed. Only accounting periods with an amount greater than zero are included in the grid.

  • Each YTD amount is the sum of all periods for each area. Each TOT amount includes posted journal entries and is calculated as follows: YTD + PRE.

  • Each PRE amount total displays the current pre-encumbrance amount for each area. It is the summary of the following non posted amounts:

    • Journal entries

    • Requisitions

    • Payments

    • P-Card transactions

    • RTB transactions (RTB line items with a Disapproved (D) status are excluded from the RTB transaction total included in the PRE Encumbrance total)

    • Warehouse transactions

When a previously approved requisition is disapproved during the approval process, the pre-encumbrance/pre-actual amount for that requisition is subtracted from the PRE amount total displayed on the Summary page.

Note: The Accounting Period Range filter is not applied to the PRE column. The PRE column always displays the PRE amount as of the current date.

Original Budget

This column displays the original budget for this account.

Note: If the SHOW_PRE_BUDGET profile key is implemented, and the budget is not adopted, the Original Budget amount displays a negative value in the Pre Original Budget field for the From account on a budget transfer entry.

Adjusted Budget

This column  displays the adjusted budget for this account, if applicable. Otherwise this column defaults to the Original Budget amount.

Encumbrance

This column displays the amount encumbered for this account.

Actual

This column displays the actual amount debited/credited to this account.

Avail/Rec/Bal

This column displays the normal account balance for balance sheet accounts. This is the sum of activity on the account.

For non-balance sheet accounts, the account balance is calculated using the following formula: Budget - Encumbrance - Actual.
