Touring the Administrative Approver Approval Queue

As an administrative approver, you have access to the Approval Queue. You can use the Approval Queue to list the requests ready for approval in the Outstanding Requests grid or previously approved in the Past Requests grid. Click the Request Date link to display the request details and to approve or deny that request.

You can approve multiple requests at the same time.

You can filter and sort the Outstanding Request and Past Request grids using the data in any column. A Down arrow (Descending) or Up arrow (ascending) displays to indicate the column heading used to filter and/or sort the requests.

Click the Pending my Approval to list requests that require your approval in the Pending My Approval grid. This is the default view.

Outstanding Requests Grid

The Outstanding Requests grid lists the requests waiting for your approval or rejection. It includes the following fields.

Column Heading

Description

Check box

As an approver, click to select the check box that corresponds to each request to be approved or rejected; or click the check box at the top of the column to select all requests submitted to you for approval. Click the button to approve the selected requests or click the button to reject the selected requests.

When approving multiple leave requests, a prompt box displays if an employee's leave request exceeds that employee's leave balance. Use this box to enter a comment about the leave request; you can enter a maximu of 36 alphanumeric characters.

Click the button to approve the request.

Click the  button to cancel the approval process.

Approving multiple requests at the same time is not available to the final approver.

Request Date

This column lists the date and time the request was submitted by the employee. This date is a link; click this link to display the request details and, if waiting for approval, to approve or reject the request.

Requested By

This column lists the name of the employee that submitted the request.

An asterisk precedes the Requested By name (i.e., * Doe, Jane) when the employee has submitted a leave request for a duration that exceeds the employee's available leave.

Request Type

This column lists the type of request submitted by the employee. Additional details display for these types of request:

  • Demographic: Type of demographic (General, Dependent, Emergency)

  • Leave: Leave Type (e.g., Vacation, Sick, Personal, Jury Duty, etc.)

  • Taxes: Federal or State

  • Time

Additional Information

This column contains a brief description of each request.

  • Benefit Request: Benefit Group/Plan

  • Deduction Request: Deduction Group/Plan

  • Demographic—Dependent: Delete, Edit, or Add [DLINQ EPENDENT]

  • Demographic—Emergency: Delete, Edit, or Add

  • Direct Deposit: Bank Account type

  • Leave:  Leave Description/Code, Leave Date Range, and Leave Time Range (if a partial day leave request); however, when this column is used to sort the grid, the sort order is as follows: Leave Start Date, Leave End Date, Leave Start Time, Leave End Time, and Leave Description/Code.

  • Taxes: Changes to information (Marital, Exemptions, Additional Withholding, etc.)

  • Time: Start Date

Next Approver

This column displays the name of the next approver of each request.

Past Requests Grid

The Past Requests grid lists the requests that you approved or rejected. It includes the following fields.

Column Heading

Description

Request Date

This column lists the date the request was submitted by the employee. This date is a link; click this link to display the request details.

Requested By

This column lists the name of the employee that submitted the request. For a proxy leave request, the name of the employee is appended with "–Proxy".

Request Type

This column lists the type of request submitted by the employee. Additional details display for these types of request:

  • Demographic: Type of demographic (General, Dependent, Emergency)

  • Leave: Leave Type (e.g., Vacation, Sick, Personal, Jury Duty, etc.)

  • Taxes: Federal or State

  • Time

Additional Information

This column contains a brief description of each request.

Status

This column displays the status of the request, either Approved,Rejected, or Approved-Finalized. For a proxy leave request, this column is blank for all approvers in the approval hierarchy who were bypassed.

Filtering the Grids

You can filter the Outstanding Request grid by Request Date, Requested By, Request Type, Additional Information, or Next Approver criteria; and the Past Requests grid by Request Date, Requested By, Request Type, Additional Information, and Status criteria. Applying multiple filter criteria limits the number of requests displayed.

  1. If necessary, click the Filter button to display the filter criteria boxes that correspond to each heading on the grid.

  2. Type the filter criteria in each applicable box; use the % sign as a wildcard character. For example, to list all requests for a specific month, type the number of that month followed by the percent sign (e.g., 01% to list all requests submitted in January). You can type the percent sign in the following positions: X%, %X, and %X%.

  3. Press the Enter key to filter the grid.
