You can modify an approval group record by changing the approval group details and assigning job codes and/or approval departments to the approval group. You can also delete an approval group not assigned to an approval chain.
Important Information You should not delete job codes that are linked to an approval group while pending requests are open in the Approval Queue. It may cause the pending requests to no longer be available to the approvers. |
After creating the approval group, use the Job Codes grid on the Edit Approval page to assign one or more job codes to the approval code. Job codes help determine the approval group to which an employee belongs.
Follow these steps to assign one or more job codes to an approval group.
To assign the job codes:
Click the Approval Groups link on the Admin Home page.
Click the Request
Type Drop Down List button to select the
type of request associated with the approval group to be modified.
In the Approval
Groups grid, click the Edit
button that corresponds
to the approval group to be updated. The Edit
Approval Groups page appears.
In the Job
Codes grid, click the
link. The Add Job Code page
appears.
Click the Filter
button to display the Job Code and Description
filter boxes. Use these filter boxes to search for the job codes to
be assigned to the approval group.
Click to select a job code to automatically add that code to the Job Codes grid. The Add Job Code page remains open so you can continue to select the job codes that apply to the approval group.
When all job codes are
selected, click the button
to return to the Edit Approval Groups
page. The job codes selected display in the Job
Codes grid.
When finished, click
the button return to
the Approval Groups grid.
You can also remove job codes from an approval group.
Click the Approval Groups link on the Admin Home page.
Click the Request
Type Drop Down List button to select the
type of request associated with the approval group to be modified.
In the Approval
Groups grid, click the Edit
button that corresponds
to the approval group to be updated. The Edit
Approval Group page appears.
In the Job
Codes grid, click the Delete
button that corresponds to the job code to be removed.
The message "Job code deleted" displays.
Click the
button to close the message and return to the Edit
Approval Group page. Note
that the job code no longer displays in the grid.
When finished, click the
button return to the Approval Groups
grid.
After creating the approval group, use the Approval Department Codes grid on the Edit Approval page to assign one or more approval departments to the approval code. Approval departments help determine the approval group to which an employee belongs when the employee's job has an approval department selected in Alio.
Follow these steps to assign one or more approval departments to an approval group.
To assign the job codes:
Click the Approval Groups link on the Admin Home page.
Click the Request
Type Drop Down List button to select the
type of request associated with the approval group to be modified.
In the Approval
Groups grid, click the Edit
button that corresponds
to the approval group to be updated. The Edit
Approval Group page appears.
In the Approval
Departments grid, click the link. The Add
Approval Department page appears.
Click the Filter
button to display the Approval Dept Code and Description
filter boxes. Use these filter boxes to search for the approval departments
to be assigned to the approval group.
Click to select an approval department to automatically add that code to the Approval Departments grid. The Add Approval Department page remains open so you can continue to select the approval departments that apply to the approval group.
When all approval departments
are selected, click the button to return to
the Edit Approval Groups page.
The approval departments selected display in the Approval
Departments grid.
When finished, click
the button return to
the Approval Groups grid.
You can also remove approval departments from an approval group.
Click the Approval Groups link on the Admin Home page.
Click the Request

button to close the message and return to the Edit

that the approval department no longer displays in the grid.
When finished, click the
button return to the Approval Groups
grid.

Make the necessary changes to the information displayed. For example:
Change the Approval Group Code, Description, or Location assigned to the approval group.
If not active, click the select the Active check box to activate the approval group. Click to clear the Active check box to inactivate the approval group.
Click the
button to save the approval group record.
You cannot delete an approval group that is assigned to an approval chain.
Follow these steps to delete a user role.
Click the Approval Groups link on the Admin Home page.
Click the Request
Type Drop Down List button to select the
type of request associated with the approval group to be modified.
In the Approval
Groups grid, click the Delete
button that corresponds to the approval group to
be deleted. The message "Approval group deleted" displays.
Click the
button to close the message and return to the Approval
Group grid. Note that the approval group no longer displays
in the grid.
