The LINQ Employee Portal (LINQ EP) software solution interfaces with the Alio Human Resources System (HRS). LINQ EP is designed to help your organization implement and manage a portal that employees can use to view their payroll advice, leave accruals, education and certificates on file, payroll deductions, and benefit package enrollments; submit requests to change their personal information, enroll in new benefit plans or change their current benefit plan enrollments, request additional payroll deductions, request leave, add or change their direct deposit allocation, change their federal and state withholding, and enter weekly time reports; and view and sign their employment contracts electronically.
LINQ EP also allows your supervisory and management staff to review, approve, and deny requests submitted by employees. You can implement multi-level approval chains for each type of request available to your employees. In addition, you can define employee contract templates, generate employee contracts, and notify employees to log into LINQ EP to view and sign their contract.
LINQ EP has two security levels: Administrator and Employee.
Your LINQ EP administrator can tailor LINQ EP to meet the needs of your organization. The LINQ EP administrator can pick and choose the LINQ EP options available to your organization's employees. These options enable your employees to:
Submit a request to change their employee file, including demographics, dependents, and emergency contacts.
Submit a request to change their benefit plans and enroll in new benefit plans. A benefit plan is an optional payroll deduction , such as a charitable donation.
Submit a request to change their deductions and add new deductions. A deduction is a required or optional payroll deduction for an employee program offered by your organization, such as a health insurance plan, dental plan, vision plan, and life insurance.
Submit a request to change their direct deposit accounts and account distribution, and, if appropriate, add a new bank to the Alio Bank Master file.
Request a leave of absence, either accrued leave (personal, vacation, and local) or tracked leave (jury duty, military leave, and bereavement).
Submit a request to change their federal and state withholding.
Submit a time entry request.
Approve employee requests.
The LINQ EP administrator can also use this interface to:
Set the default parameters used to define the appearance and functionality of LINQ EP.
Upload and organize company forms and other correspondence used by employees.
Customize automatic notification e-mail messages to employees and administrators.
Maintain administrator and employee user accounts.
Identify the request options available to your employees, including benefit, deduction, demographic, leave, direct deposit, tax, and time entry.
Define the Department Leave Calendar.
Create the approval hierarchies for request approvals.
Enter a Proxy Leave and Proxy Time Entry Request for an employee.
Create employee contract templates; generate employee contracts using employee contract data defined in Alio; and notify employees to log into LINQ EP to view and sign their contract.
Employees are granted access to LINQ EP after creating an LINQ EP account. Employees can assign their own user name and password , and enter their own security questions and answers. After creating their account, the employee must respond to an automatic e-mail before logging into LINQ EP for the first time.
Using LINQ EP, your employees may:
Change their e-mail address and their LINQ EP user name and password.
Configure their personal information settings and calendar settings.
View and search a company directory.
View and print employer forms.
View their Payroll Advice, salary compensation details, and current and previous W-2 forms; leave accruals and details; education and certificate records on file with Human Resources; and current and previous deduction and benefit details.
Enter demographic requests to update their personnel file, including name, address, dependents, and emergency contacts.
Enter leave requests, such as personal, vacation, and jury duty.
Enter benefit requests to enroll in new benefit plans and change existing benefit plans.
Enter deduction requests to enroll in new programs sponsored by your organization and to change programs in which the employees' are currently enrolled.
Enter a request to add a bank to the Alio Bank Master, enter a new direct deposit account, and change their direct deposit account distribution and deposit amounts.
Enter a request to change their federal and state withholding.
Enter a time entry request.
Track their requests from the time of submittal until the requests are approved or rejected.
Receive e-mail notifications each time their request is approved or rejected.
View and print their employment contract and sign the contract electronically
If part of an approval hierarchy, supervisors can approve their employees’ requests.
If your organization has implemented Alio Time, allow employees and managers to use a single sign-on to Alio Time through LINQ EP.
